How does employee time tracking work in Timesheet?

Each employee installs the free app and clocks in with one tap, an NFC tag or a geofence around the workplace. The hours reach the web app, where managers see who is working, review entries and export them. Team features need Pro at $10 per user per month, free for the first 30 days.

What your employees do

Clocking in takes one tap: Start in the morning, Pause for lunch, Stop at the end of the day. The clock can also start by itself when someone arrives at a geofenced workplace or taps an NFC tag by the door. On Android, joining the work Wi-Fi can start it too.

Forgot to clock in? Employees add the entry afterwards or correct it. The app works offline, and Apple Watch or Wear OS can start, pause and stop the clock, paired with the phone. The time card app page shows the employee side in detail.

What you see as the employer

The web app is where the team comes together. Give each person a role (member, manager or owner) and decide who sees what:

Breaks, overtime and time off

Breaks are tracked apart from working time with the pause button. On Android, a break can also be added automatically after a set working time.

The Business plan adds the HR side: overtime and flextime balances against each contract, leave balances, time-off requests that employees send from the app and managers approve in the web app, and overtime approval at the end of a period. Days with a missing break or a short rest period are flagged for review. Nothing is blocked, so a manager decides what happens.

Templates with the working-time rules of 49 countries give you a starting point, which you then adjust to your contracts.

From hours to payroll

At the end of the month, export the team's hours to Excel, CSV or PDF in the web app, or turn them into PDF timesheets. Employees can export their own hours from the phone to Excel or CSV on any plan.

With Pro, Timesheet can also send hours to QuickBooks Online as time activities, and Zapier and the REST API connect other tools. To check a week by hand, use the time card calculator; the PTO accrual calculator estimates earned time off.

Fair to your employees

Employee time tracking works when people trust it. Timesheet records working time, not movements: location is saved only at the start and end of a shift, and only if the employee turns it on.

Synced data is stored on Google Cloud servers in the EU (Belgium), and a data processing agreement under Art. 28 GDPR is available.

What to know before you roll it out

The limits that matter to most employers:

Each employee uses their own phone
There is no kiosk, tablet terminal, PIN pad or badge reader, and no photo check at clock-in.
Every team member needs a Pro license
The app is free for one person. Everyone on your team needs Pro at $10 per user per month. Pro and Business suit teams of up to 50, Enterprise up to 200.
No timesheet sign-off
Managers review and correct entries in the web app, but there is no approval step for time entries. Approvals cover time off and overtime (Business).
Approvals happen on the web
Employees request time off in the app; managers approve it, and overtime, in the web app.
